What is SmartPickup?

SmartPickup is an intelligent school pickup management platform that transforms the chaotic dismissal process into a safe, organized, and efficient experience. It combines smart scheduling, live GPS tracking, QR code verification, and carpooling to help schools manage student pickups while keeping parents informed in real time.

Think of it as a complete ecosystem for school dismissal — the school gets an admin dashboard to manage everything, parents get a mobile app to track and coordinate pickups, and staff get tools to verify identities and direct traffic at the gate.

How does SmartPickup work?

SmartPickup works in a simple, three-step process:

  • Schedule: The school sets up dismissal time windows and assigns each family a pickup time slot based on factors like grade level and distance from school. This spreads out arrivals and reduces congestion.
  • Notify: When a parent approaches the school, their GPS location is tracked and the school is notified. The system can prepare the student for pickup before the parent even arrives.
  • Verify: At the gate, the parent shows their QR code. Staff scan it to confirm identity and ensure the person is authorized. The student is released and the pickup is logged.

The entire process is tracked, timed, and recorded in the analytics dashboard so schools can continuously improve their dismissal workflow.

What types of schools can use SmartPickup?

SmartPickup is designed to work with any K-12 school, including public schools, private schools, charter schools, and religious schools. Whether your school has 50 students or 5,000, the platform scales to fit your needs. We also support preschools and daycare centers that need structured pickup management.

Is SmartPickup available in my area?

SmartPickup is a cloud-based platform that works anywhere with internet access. Our core features — scheduling, QR verification, and the parent app — work globally. GPS tracking features require location services, which are available on all modern smartphones. How do we get started with SmartPickup?

Getting started is simple and typically takes less than a week:

  • Step 1: Schedule a demo with our team. We will walk you through the platform and answer any questions specific to your school.
  • Step 2: Create your school account and import your student roster using our CSV import tool. You can upload student names, grades, parent contacts, and addresses all at once.
  • Step 3: Configure your dismissal schedule — set time windows, assign lanes, and customize your pickup workflow.
  • Step 4: Invite parents. Each parent receives an email or SMS with instructions to download the app and activate their account.

Our onboarding team is available to help at every step, and we provide training for school staff to ensure a smooth launch.

How does the CSV import work?

The CSV import feature allows you to bulk-upload your entire student roster in one step. Simply export your student data from your existing Student Information System (SIS), format it according to our template, and upload it through the admin dashboard.

The import supports student names, grade levels, parent/guardian contact information, home addresses, and authorized pickup persons. Our system validates the data before importing, flags any issues, and provides a clear summary of what was imported. You can re-import at any time to update records.

What admin features are available?

The SmartPickup admin dashboard gives school administrators complete control over dismissal management:

  • Student Management: Add, edit, and organize students by grade, class, or group.
  • Schedule Configuration: Set up dismissal time windows, assign pickup times based on distance and grade, and manage special schedules for early dismissals or events.
  • Live Monitoring: See a real-time view of which parents are approaching, which students are ready, and how the pickup queue is moving.
  • Analytics: Track pickup times, identify bottlenecks, and measure improvement over time with detailed reports and charts.
  • Staff Management: Assign roles and permissions to teachers, gate staff, and other team members.
  • Announcements: Send notifications to all parents or specific groups about schedule changes, weather delays, or events.

Can we customize our dismissal schedule?

Yes. SmartPickup gives you full control over your dismissal schedule. You can create multiple time windows per day, assign students to specific windows based on grade or distance, and set different schedules for different days of the week. The system also supports special schedules for half-days, early dismissals, and school events. Changes propagate instantly to the parent app so families always have the latest information.

Do you provide training for school staff?

Yes. Every school receives free onboarding training that covers the admin dashboard, the staff app for gate scanning, and best practices for organizing dismissal. For Professional plans, training is conducted via video call. Enterprise plans include on-site training where our team visits your school to train staff in person and help optimize your pickup workflow.

For Parents

Common questions from parents about using the SmartPickup app and managing pickups.

How do I add authorized pickup persons?

You can add authorized pickup persons directly from the SmartPickup parent app. Go to your child's profile, tap "Authorized Persons," and add the person's name, phone number, and relationship. The authorized person will receive an invitation to download the app and will get their own QR code for verification at the gate.

You can add grandparents, nannies, neighbors, or any trusted adult. You can also remove or modify authorized persons at any time. The school is notified of any changes and must approve new authorized persons before they can pick up your child.

How does the carpooling feature work?

SmartPickup's carpooling feature helps families who live near each other coordinate shared rides. The system uses home address data to identify nearby families and suggests carpool matches. Parents can view potential carpool partners on a map, send carpool requests, and set up recurring carpool schedules.

When a carpool is active, the designated driver picks up all children in the group. The school is automatically informed of the arrangement, and all parents in the carpool receive real-time notifications when their child is picked up. Carpooling reduces traffic at the school and saves families time and fuel.

Can I track when my child is picked up?

Yes. The SmartPickup parent app provides real-time visibility into the pickup process. You can see your assigned pickup time, your position in the queue, and a notification the moment your child is released from the gate. With the Professional and Enterprise plans, you also get live GPS tracking that shows the pickup person's location as they approach the school.

Additionally, a complete pickup history is available in the app so you can review who picked up your child, when, and the verification method used.

What if I am running late for pickup?

If you are running late, you can notify the school directly through the app with one tap. The school will be alerted that your child needs to wait, and the student can be held safely until you arrive. If you have authorized pickup persons set up, you can also quickly assign the pickup to someone else. The system handles schedule flexibility so the school can accommodate late arrivals without disrupting the flow for other families.

What if I lose my phone or cannot show my QR code?

The QR code is the primary verification method, but SmartPickup has backup procedures for situations where a phone is unavailable. School staff can verify your identity using a photo ID and manual lookup in the system. You can also request a temporary verification code sent to your registered email or phone number. The school's gate staff are trained to handle these exceptions securely while keeping the line moving.

How is our data secured?

Data security is paramount at SmartPickup, especially since we handle information about children. Here is how we protect your data:

  • Encryption: All data is encrypted in transit (TLS 1.3) and at rest (AES-256). Communication between the app and our servers is fully encrypted.
  • Access Control: Role-based access ensures that only authorized personnel can view sensitive information. Parents can only see data related to their own children.
  • Compliance: We comply with FERPA (Family Educational Rights and Privacy Act), COPPA (Children's Online Privacy Protection Act), and GDPR where applicable.
  • Infrastructure: Our platform runs on enterprise-grade cloud infrastructure with 24/7 monitoring, automated backups, and disaster recovery.

Does SmartPickup work offline?

SmartPickup requires an internet connection for real-time features like GPS tracking and live queue updates. However, the app includes limited offline capabilities:

  • QR codes are cached locally, so they can be displayed even without connectivity.
  • The pickup schedule is stored on the device and remains visible offline.
  • The school's gate scanning app can verify QR codes against a locally cached authorized list when connectivity is temporarily unavailable.

When connectivity is restored, all data syncs automatically. We recommend schools have reliable Wi-Fi at their pickup areas for the best experience.

What devices and browsers are supported?

SmartPickup is designed to work across all modern devices:

  • Parent App: Available for iOS (iPhone 8 and newer, iOS 14+) and Android (Android 8.0 and newer). Download from the App Store or Google Play.
  • School Dashboard: Works in any modern web browser — Chrome, Firefox, Safari, or Edge. Optimized for both desktop and tablet use.
  • Staff Scanning: The gate scanning feature works on any smartphone or tablet with a camera. No special hardware required.

We regularly test on a wide range of devices to ensure compatibility and performance.

Can SmartPickup integrate with our Student Information System?

Yes. On the Enterprise plan, SmartPickup offers custom integrations with popular Student Information Systems (SIS) including PowerSchool, Infinite Campus, Skyward, and others. This allows automatic syncing of student rosters, parent contacts, and enrollment changes so you never have to manually update records.

For schools on the Professional plan, the CSV import feature provides a straightforward way to keep data in sync by periodically exporting from your SIS and uploading to SmartPickup. We also offer an API for schools that want to build custom integrations.

How reliable is the platform?

SmartPickup is built for reliability, especially during the critical dismissal window. Our platform maintains 99.9% uptime, backed by redundant infrastructure, automatic failover, and real-time monitoring. Enterprise customers receive a formal SLA (Service Level Agreement) guaranteeing uptime with financial credits if thresholds are not met.

We run load testing to ensure the platform handles peak traffic — thousands of parents checking in simultaneously — without degradation. Our infrastructure automatically scales to meet demand.

What is included in the free Starter plan?

The Starter plan is free forever and includes everything a small school needs to get started with smart pickup management:

  • Support for up to 100 students
  • Smart time slot scheduling
  • QR code verification at the gate
  • Parent mobile app access
  • Authorized pickup management
  • Basic school announcements
  • Email support

The Starter plan does not include GPS tracking, carpooling, lane management, or analytics. These are available on the Professional and Enterprise plans. No credit card is required to sign up.

How do I upgrade my plan?

Upgrading is simple. Log into your school admin dashboard, go to Settings, and click "Manage Plan." You can upgrade from Starter to Professional instantly with a credit card. For Enterprise, click "Contact Sales" and our team will work with you to create a custom plan.

When you upgrade, all your existing data, schedules, and parent accounts remain intact. The new features become available immediately. If you upgrade mid-billing cycle, you will only be charged a prorated amount for the remainder of the month.

Are there any contracts or commitments?

No. All SmartPickup plans are month-to-month with no long-term contracts. You can upgrade, downgrade, or cancel at any time from your admin dashboard. If you cancel within the first 30 days of a paid plan, you receive a full refund. After that, your plan remains active until the end of your current billing period.

Enterprise plans may include optional annual agreements with discounted pricing, but these are negotiated case by case and are not required.

What payment methods do you accept?

For the Professional plan, we accept all major credit cards (Visa, Mastercard, American Express) and debit cards. Payments are processed securely through Stripe.

For Enterprise plans, we also accept purchase orders, wire transfers, and ACH payments. We understand that many school districts have specific procurement processes, and our team is happy to work with your business office to accommodate your payment requirements.

Do you offer discounts for school districts?

Yes. We offer volume discounts for districts that enroll multiple schools on SmartPickup. The more schools in your district that join, the better the per-school pricing. We also offer special pricing for Title I schools and non-profit educational institutions. Contact our sales team to discuss district-level pricing and get a custom quote for your needs.
